Set up budgets
Set your academic calendar, add budgets, plan amounts by category, organize ledgers and share a budget with members.
Officers with Manage Budgets set the academic calendar, add budgets and enter planned amounts. Officers with Manage Ledgers add and edit categories and ledgers. Admins can do all of it. Everything here is in the web app. For how the pieces fit together, see How budgeting works.
Set your academic calendar
Your academic calendar decides the name and dates of the budget MyGreek creates for each term, and the term new charge types get. Each term runs until the next one starts, so every day of the year belongs to a term.
- Select your profile picture in the top-right corner and choose My Chapter.
- Open the Academic Calendar tab.
- Pick Semesters, Quarters or Custom.
- Semesters starts with Spring on Jan 1 and Fall on Jun 1.
- Quarters starts with Winter on Jan 1, Spring on Mar 25 and Autumn on Sep 15.
- Turn on Summer term to add a summer. With semesters, this also moves Fall to Aug 15 if it was still on Jun 1.
- Custom lets you rename terms, remove them and select Add term (up to 6).
- Change each term's Starts month and Day to match your school.
- Check This year, which lists each term's dates. If something's wrong, such as two terms starting the same day or a term under 30 days, the message shows there instead.
- Select Save calendar.
Budgets and billing terms you already have stay as they are. New ones follow the calendar.
Add or edit a budget
MyGreek creates an empty budget for each term of your calendar, named like "Fall 2026". A new chapter gets one for the current term, and if a transaction comes in for a term with no budget, MyGreek creates that term's budget then. MyGreek never creates a budget that overlaps one you already have, and doesn't reuse a name you've used.
To add one yourself, for example a budget for the whole year:
- Open Budgets from the side menu.
- Open the Budget picker at the top right and select Add.
- Enter a Name, Start Date and End Date, then select Save.
To rename a budget, change its dates or delete it, open the Budget picker and select the pencil next to the budget. Edit Budget has Save and Delete. Deleting removes the budget and all its planned amounts; you type the budget's name to confirm.
New budgets start empty. There's no way to copy last term's amounts yet, so enter them as described below.
When budgets overlap, a new transaction goes into the one that starts latest.
Plan amounts by category
- In Budgets, pick the budget in the Budget picker and the ledger tab you want.
- Select Edit budget above the categories.
- Type an amount in Budgeted for each category you want to plan. Changed rows are highlighted.
- Select Save changes. Cancel throws away what you typed.
If you try to leave the page with unsaved amounts, MyGreek asks before discarding them.
You can also set one category's amount from its pencil (Edit Category → Budgeted Amount).
Add and edit categories
You need Manage Ledgers.
- Add a category: on the ledger tab, select Add Category under the list. Enter the Category Name, choose Expense or Income in Category type, add a description if you like, and select Save and Add Another. Select Cancel when you're done.
- Edit a category: hover over its row and select the pencil. In Edit Category you can change the Category Name, the Category type (only before the category has any transactions or planned amounts), the planned amount and, for admins, the description and which Ledger it's in. Moving it to another ledger keeps its budgets and transactions.
- Delete a category: in Edit Category, select Delete and type the category's name to confirm.
ACH Returns and Payment Disputes are set by MyGreek: you can plan an amount for them, but not rename or delete them.
Organize ledgers
A ledger is a group of categories, shown as a tab across the top of Budgets. Your chapter starts with one, "Main". If your house corporation's money or a separate fund should be tracked apart, give it its own ledger.
- Add a ledger: select + next to the ledger tabs, enter a Name and select Save. You need Manage Ledgers.
- Rename or delete a ledger: right-click its tab and choose Rename or Delete. Deleting asks you to type the ledger's name.
Each ledger tab has its own Income, Expenses and Net totals. The cards at the top of the page add up all ledgers.
See budget against actual
On Budgets, each category shows Actual, a progress bar and Budgeted. The bar turns red when an expense category goes over its budget, or an income category is short of it. Use the search box and All, Expenses or Income to narrow the list.
Select a category to open its details on the right: the actual amount in this budget and the difference from plan, a chart over the budget's dates, Budget metrics for the same category in every budget, and the transactions in it, grouped by month.
Actuals come from transactions in that category whose date falls in the budget. To change what counts, categorize transactions or move one to another budget on Transactions. See Track spending.
Share a budget with members
You can let members who aren't officers see a budget, ledger or category. Access is view only. Members you share with see Budgets in their side menu.
- Open the budget, ledger or category's own page. Budgets are listed at app.mygreek.us/budgets and ledgers at app.mygreek.us/ledgers; select one to open it.
- Select Manage Access.
- Turn on Entire chapter can view, or pick members By Member Type, By Group or under Individual Members.
Access through a group follows the group: people added later get access, and people removed lose it. See Organize members into groups.
Common questions
Why does a new term have no budget amounts?
MyGreek creates term budgets empty. Select Edit budget and enter this term's amounts.
Why didn't a transaction count toward my budget?
It's uncategorized, it's marked as a transfer, or its date is outside the budget's dates. Check its Category and Budget on Transactions.
Can I budget for a whole year instead of a term?
Yes. Add a budget with the year's start and end dates. New transactions go into whichever covering budget starts latest, so if term budgets cover the same days, transactions go to the term budget.
