Issue and manage officer debit cards

Give officers Crowded debit cards, put money on them, and freeze, replace, report or close cards.

Chapter admins can give any member of the chapter a Crowded debit card, and manage it, from the Banking page in the web app. Your chapter's Crowded application must be approved first; see Open accounts and move money.

Before you start

Each card belongs to one account. It spends from that account, so decide which account an officer's card should use before you issue it. You can open a separate account for this; see Open another account.

The cardholder's MyGreek profile needs their first and last name, email, phone number and date of birth. If the phone number or date of birth is missing, the New Card form asks for it and saves it to their profile. A missing email isn't asked for: add it to their profile first, or the card isn't created and you see "Member profile incomplete."

For a physical card, the account needs at least $8 available for the card fee.

Choose digital or physical, full balance or wallet

Every card has two settings.

Card Type

  • Digital (virtual only): a virtual card with no plastic card. No fee.
  • Physical (mailed · $8 fee): a plastic card mailed to the address you enter. A one-time $8 fee is taken from the account when the card is issued. A digital card is created automatically alongside it, so the cardholder shows two cards.

Balance access

  • Access to full balance: the card can spend everything in the account. The card's page shows Full balance.
  • Manually transfer funds: the card has its own wallet and can only spend what you move onto it. The card's page shows Wallet. Use this to cap how much an officer can spend, for example the social chair's event budget.

A member can hold one digital and one physical card on each account.

Issue a card

  1. On Banking, select the account under Accounts.
  2. Under People, select Add. Or, next to someone already listed, select Give card.
  3. In Cardholder, search for and pick the member.
  4. If asked, enter their Phone Number and Date of Birth.
  5. Choose Balance access and Card Type.
  6. For a physical card, check the Shipping Address. It's filled in from the chapter's address; change it if the card should go somewhere else.
  7. Select Create Card, or Order Physical Card ($8) for a physical card.

The card appears under the cardholder's name in People. A physical card shows Inactive until it's activated. If you see "Card already exists for this member," that member already has a card of that type on this account.

Put money on a wallet card

Wallet cards (Manually transfer funds) start empty. Move money onto them from the account they belong to.

  1. On Banking, select the account.
  2. Under People, select Transfer. It's available when the account has at least one wallet card.
  3. Fund Card Wallets shows the account's available balance. Enter an amount next to each card you want to fund.
  4. Select Transfer.

Each card in People shows how much it has left to spend. Full-balance cards don't need funding. Moving money off a wallet card isn't available in MyGreek.

Freeze, replace, report lost or close a card

Select a card under People to open its page, then select Actions:

  • Freeze card temporarily blocks all transactions. Select Unfreeze card to allow them again.
  • Replace card orders a new physical card. Confirm the shipping address (filled in from the cardholder's profile) and select Order Replacement. It's only offered for physical cards, and works only while the card is active or not yet activated.
  • Report lost / stolen permanently disables the card. This can't be undone, and Crowded emails the cardholder.
  • Close card permanently disables the card.

Reporting a card lost or closing it can't be undone. To get the officer a new card after that, contact support@mygreek.us. If a card only needs to be paused, freeze it instead.

The card's page also shows the last four digits, expiry, card network, its status and its Transactions.

Cards created in Crowded

Cards issued outside MyGreek, in Crowded's own dashboard, show up in People marked Unassigned, because MyGreek doesn't know who holds them. Select Assign (or Assign cardholder on the card's page), pick the member and confirm. Pick carefully: this attributes every past and future transaction on that person's cards to the member you choose.

To pull in people and cards added in Crowded, select the sync icon next to People (Sync all accounts with Crowded).

Request receipts for card purchases

Admins can have MyGreek text the cardholder for a receipt after each card purchase. On Banking, turn on Request receipts, next to Transactions. It's off until an admin turns it on.

When it's on, after each card purchase of $5 or more the cardholder gets a text: "MyGreek: $84.12 at Costco on 9/18 with your chapter card. Reply with a photo of the receipt and what it was for." They aren't texted for:

  • money transfers and cash, such as Venmo or ATM withdrawals
  • purchases on a Crowded account you chose Disable Syncing for (see Track spending)
  • the next charges of a subscription they were already asked about (once per card and store)
  • a card with no cardholder assigned, or a cardholder with no phone number in MyGreek

When the cardholder replies with a photo, MyGreek reads the receipt and checks it against their card purchases: the amount (a tip is allowed for), the date, and the card's last four digits when the receipt shows them.

  • It fits: they get "Got it, thanks!" and the receipt is attached to the purchase's transaction as soon as the purchase posts, usually within a day or two. Whatever they said it was for is added to the transaction's notes, signed with their name and "(texted)".
  • It fits more than one of their purchases: they're asked which one, with a button for each (or a numbered list to reply with).
  • The amount or date is off: they're told why and asked for the right receipt. A receipt that doesn't fit is never attached.
  • It isn't a receipt: they're told so.

A cardholder can send several photos in one text, or one at a time; pages of a long receipt are kept together. To see what's attached, open the transaction; see Attach receipts to transactions.

Common questions

Why can't I pick a member as the cardholder?

They already have an open card of that type (digital or physical) on this account. Pick the other card type, or another account.

Card creation says "Physical card issuance isn't enabled for your chapter yet."

Physical cards have to be switched on for your chapter by Crowded. Contact MyGreek support to enable it. You can issue a digital card in the meantime.

Card creation says the account doesn't have enough for the $8 fee.

Move money into the account first (see Move money between your accounts), then try again.

Can I set a spending limit on a card?

Use a wallet card (Manually transfer funds). It can only spend what you've moved onto it.
