Track payments
See who paid, what's pending and what's still owed on the Payments page, and how card and bank payments, receipts, refunds and returns show up.
The Payments page lists every payment members have made through MyGreek, plus credits officers recorded for money paid another way. Officers with the View Transactions or Add Manual Transactions permission can open it from Payments in the main menu on the web. The mobile app has a simpler Payments list (see Payments in the mobile app).
The totals at the top of Payments
Five tiles sum up the date range and charge type you've picked:

| Collected | Payments plus credits in the period. The chip next to it is Collected as a percent of Billed (red under 35%, yellow under 80%, green from 80%). Select the amount to see the Collected Breakdown: Payments, Credits and Total. |
| Pending Payout | An estimate of recent payments that haven't reached your bank yet. Select the amount to open Payout Details, which shows the expected amount for each business day of a week. Use the arrows to move between weeks. Bank holidays show a dash. |
| Outstanding | Billed minus Collected. |
| Billed | What members were charged in the period, minus adjustments. |
| Projected | How much of what's still owed on charges due in the period we expect members to pay. Select it to see Expected in MyGreek, Expected paid outside MyGreek and Expected to go uncollected. It's a forecast based on payment history, and it gets more accurate as payments come in. |
Pending Payout is counted before processing fees and refunds come out, so the money that lands in your bank can be lower. For real deposits, see How payouts work.
Below the tiles, Payments by week charts payments over the same period.
Filter the payments list
Above the table:
- Search for member: shows only one member's payments. This filters the table, not the tiles.
- Date range: starts on your chapter's current term. Pick another term, This Week, This Month, Last Month or Year to Date, or choose your own dates. Reset clears it.
- Charge Type: shows only payments toward one charge type. A payment that covered several charges shows if any of them match.
You can also sort and filter by column in the table itself.
The payments table
Each row is one payment. A payment that covered several charges is one row, with a chip such as "3 charges".

| Date | When the payment was made. |
| Description | Any note on the payment. |
| Estimated Arrival | When the money should reach your bank, or Arrived once that date has passed. Only shown for succeeded card and bank payments. |
| Decline Reason | Why a failed payment failed. |
Refunds don't get their own row. They show inside the payment they came from (see Open a payment's details).
To download the list, select Export at the bottom of the table.
Payment statuses
| Status | What it means |
|---|---|
| Succeeded | The payment went through and counts toward the member's balance. |
| Pending | The payment hasn't finished processing yet. |
| Failed | The card was declined, the bank payment didn't go through, or the member's bank sent it back later. |

Card payments vs bank payments
- Card, Apple Pay and Google Pay payments usually show Succeeded right away.
- Bank (ACH) payments start as Pending and change to Succeeded once our payment processor confirms them. They count toward the member's balance once they succeed.
Even after it shows Succeeded, a bank payment can still be sent back by the member's bank. When that happens it changes to Failed and the member owes the amount again. See Returned bank payments and disputes.

Open a payment's details
On Payments, select any row to open Payment Details: date, amount, status, member, payment method, decline reason (if it failed), the charges it paid and the Payment ID.
From there you can:
- Select Download receipt for a PDF receipt of the payment.
- See every refund on the payment under Refunds, with its status.
- Select Issue Refund (chapter admins only, succeeded payments only). See Refund a payment.
You can open the same details from a member's Payments tab and from a charge type's Payments tab.
What members get when they pay
After paying, the member gets an email: Payment Success for a card payment or Payment Pending for a bank payment, usually with a PDF receipt attached. If a parent or another payer paid for them, the payer gets the email. Members can also download a receipt from their own payment history.
Record a payment made outside MyGreek
Cash, checks, Venmo and Zelle don't go through MyGreek. Record them as a credit with Credit Member at the top of the payments table. See Fix a member's balance.
Payments in the mobile app
In the mobile app, officers open Payments from the menu. It lists recent payments with their status. Tap one to see its date, amount, status, member, payment method, decline reason, charge, estimated arrival and transaction ID. The totals, filters, receipts and refunds are only on the web.
