Change the card on a member's payment plan

Who can switch the card on a payment plan, where they do it, and what you can do as a treasurer.

Treasurers can't change the payment method on someone else's plan. Only the person who pays the plan can, so your job is to point them to the right place. You can send them Change the card on a payment plan, which has the steps.

Where the payer changes the card

The memberWeb app: My Balance → View My Plans → the plan → Change Payment Method. Mobile app: Plans tab → the plan → Change next to Payment Method. Or pay.mygreek.us.
A parent or someone elseOnly that person, at pay.mygreek.us: enter the member's code, log in, select Continue to payment plans → the plan → Change Payment Method.
  • If a parent pays the plan, the member can't change its card in the web or mobile app.
  • On a plan that covers several charges, the new payment method is used for every charge in it.
  • The card can be changed while the plan is approved or waiting for approval. A canceled, expired or completed plan can't be changed.
  • The new method is used from the next payment on, including a retry of a failed payment. Nobody is charged when the card changes.

If the payer can't change it themselves

  1. Open the plan from the Payment Plans table and select Cancel Plan, then confirm.
  2. Propose a new plan for the remaining balance, from the member's Payment Plans tab or with Propose Payment Plans. See Offer payment plans.
  3. The member accepts the new plan and chooses a payment method as part of accepting.

Canceling stops all scheduled payments right away. If your late fee policy only exempts charges on a payment plan, the charge isn't protected until the new plan is approved.

What happens next

  • When a member or parent changes the card, no email is sent to you or them.
  • When you cancel a plan, the payer gets a "Payment Plan Canceled" email.
  • When you propose a new plan, the member gets a "Payment Plan Proposed" email. If they don't accept it before its first payment date, it expires.

Common questions

A payment failed. Will changing the card fix it?

Yes, if it's changed before the retry date. Failed payments are retried 1 day later, then 3 days after that. If the failure was an expired or closed card, the plan was already canceled, and the payer needs to set up a new plan. See How payment plans work.
