Get members into MyGreek
Add members one at a time, import your roster from a spreadsheet, or let people join through a link, and manage their invites.
This page covers every way to get people onto your roster in the web app: adding one member, importing a spreadsheet, filling in custom fields, sending invites, and join links and join requests. Officers with the Add new members permission can do all of it. See How your roster works.
Which way should I use?

Each way creates a member on your roster, and New Members and active Members get an invite right away. Send join links only to people who aren't on your roster yet; add or import current members instead.
Add one member
- In Members, on the Roster tab, select Add Member → Add Single.
- Choose the Member type, then enter First name, Last name and Primary email. Phone (optional) must be 10 digits. Secondary email (optional) is for a parent or guardian.
- Set Status and Active.
- Fill in any custom fields under Additional Information. Address is optional, under Address Information (Optional).
- Select Save and Close, or Save and Add Another to keep going.
If someone on your roster already has that email or phone number, the form says so and won't save.
Import your roster from a spreadsheet
Import members from a CSV or Excel file. An import only adds new people.
Invites go out as soon as you select Import. If you don't want members contacted yet, import them as inactive and invite them later with Provision Login on each profile.
- In Members, select Add Member → Import Roster. Not sure how to lay out your file? Select Download the roster template.
- Leave Suggest column matches with AI on to have AI match your columns. It sends your column names and a few values from each column to our AI provider. Turn it off to match by column names only.
- Upload a CSV or Excel (.xlsx, .xls) file.
- On Map Your Columns, check each match. First Name, Last Name and Email are
required. Matches marked Please confirm were judgment calls.
- If your file has one name column or one address column, it can be split for you. Select Undo to keep it as is.
- For Type, Status, Active and Group(s), anything you don't map uses the default you pick in the sample column for every row.
- Use Map Parent Contact 1 and Map Parent Contact 2 for parents. A parent needs an email to be added.
- Columns you don't map are ignored.
- Select Next: Review Data. Fix or deselect rows with errors, then select Import N Members.
Roster file rules
Phone numbers must be 10-digit US numbers, and State must be a 2-letter code. To put someone in several groups, separate group names with a semicolon, for example "Actives; Fall 2025 PC". New group names are created as groups, and you can match them to existing groups with Adjust Group Mappings.
Duplicates in a roster import
A roster import never updates members you already have. A row whose email or phone matches someone on your roster, or another row in the file, is marked as a duplicate and skipped. Members you've archived aren't matched, so importing them again adds a new member.
Import custom field values
You can fill in your chapter's custom fields, such as graduation year or shirt size, for members you already have, from a spreadsheet in the web app. To create the fields themselves, see Custom fields.
- Go to My Chapter → Custom Fields and select Import Values. You can select Download your chapter's import template.
- Upload your file. On Match & Map, choose how rows find members: Email, Phone or First + Last Name. Then match columns to fields.
- On Review & Import, turn on Overwrite existing values to replace values members already have. Otherwise only empty fields are filled.
Rows that don't match exactly one member can't be imported.
Send, resend and rescind invites
Members need to finish setting up their account before they can see their balance and pay in MyGreek.
Who gets an invite
An invite goes out automatically when you add a New Member, or a Member with Active on, whether you add them one at a time, import them or approve their join request. Alumni and inactive members aren't invited. To invite one of them, open their profile and select Actions → Provision Login.
What members receive in their invite
What the member receives depends on what's on file:
- Email only: a "Setup your MyGreek account" email with an Accept Invite button.
- Email and phone: a "Welcome to MyGreek" email with a Complete Profile button, plus a text telling them to sign in at app.mygreek.us or in the MyGreek app with that phone number.
- Already uses MyGreek (for example, in another chapter): a "You've been added to [chapter] on MyGreek" email, and a text if you have their phone. They sign in with their existing login.
When they sign in the first time, they verify their email or phone if needed, add their home address and parent contacts, and review. Parent contacts can be skipped.
Resend or rescind an invite
The Invites tab on Members lists everyone who was invited but hasn't finished setting up.
- Resend one: select Resend invite email or Resend reminder (the email or text icon) on their row. The dialog shows whether an email and a text will go out, and the text itself. You can also select Actions → Send Onboard Reminder on their profile.
- Resend to everyone: select Resend All. Choose Email and Text, and whether to Skip members with a $0 balance.
- Rescind invitation: cancels their invite link and blocks them from signing in. They stay on your roster. To remove them, archive them.
Texts need SMS segments. If your chapter doesn't have enough, the dialog says so, and you can buy more or send emails only.
The Remind members to join item in your Ongoing Tasks checklist appears while anyone hasn't finished setting up. It opens the Invites tab.
Share a join link
A join link lets people ask to join your chapter themselves, at join.mygreek.us/your-code. Send join links only to people who aren't on your roster yet.
- In Members, select Add Member → Share Join Link. (The Requests tab also has Manage Invite Links.)
- Select Create Link.
- Enter an Invite Code, or use refresh to generate one.
- Turn on Auto-approve join requests if you want people added without review.
- Under Member Default Settings, set Active, Type and Status for people who join. Optionally pick Auto-add to groups and Auto-assign charges.
- Save. The link is copied so you can share it.
From the same list you can copy, edit, disable or enable a link. A disabled link stops working.
People who open the link see "Join [chapter] on MyGreek" and enter their first name, last name, email and phone number. After Request Access, they see Request Submitted!
Approve or reject join requests
Unless the join link auto-approves, join requests wait on the Requests tab of Members, and on the Tasks page as Join Request.
- Before approving, check the roster for the same name.
- Select Approve or Reject.
Join links guard against some duplicates:
- If someone sends a second request while the first is still pending, the first one is updated instead of adding another.
- If the person is already on your roster (same email, or same phone and name), no new request is created. If a request like that is already waiting, Approve shows an error telling you to reject it instead.

What happens next
- Added one at a time or imported: the member appears on the Roster right away. Parent contacts you mapped in an import are added as secondary contacts.
- Join request approved (by you or automatically): the person is added with the link's default type, status and Active setting, put in its groups, and given its charges at each charge type's default amount and due date. Rejected people aren't notified.
- Invites: every New Member, and every Member with Active on, is sent an invite at once, however they were added. Alumni and inactive members aren't; invite them later with Actions → Provision Login on their profile.
Common questions
Can I add members without contacting them yet?
Yes. Add or import them as inactive, so no invite goes out. When you're ready, open each profile and select Actions → Provision Login.
I archived someone and want them back. Should I add them again?
No. Importing or re-adding an archived member creates a new member, and a duplicate. Restore them instead. See Restore an archived member.
