Send documents for signature

Turn bylaws, housing contracts and agreements into templates, send them to members and parents to e-sign, and download the signed copies.

Signatures lets your chapter send documents, like housing contracts, bylaws acknowledgments or risk waivers, for members (and co-signers such as parents) to sign online. You build a document once as a template, then send each member their own copy. Document e-signing is a Plus plan feature. Only chapter admins can create templates and send documents; any member can sign what's sent to them.

If your chapter isn't on Plus, Signatures shows Upgrade Required. See your plan in My Chapter → Plan.

The three tabs

  • My Documents: documents waiting for your own signature, and ones you've signed. Every member sees this tab.
  • Sent Documents (admins): every document your chapter has sent, with each signer's status.
  • Templates (admins): the documents you can send.

Admins also see Documents Sent, Documents Pending and Documents Signed totals at the top, and a Documents tab on each member's profile.

Create a template

  1. In Signatures, open the Templates tab and select New Template.
  2. Upload your document (a PDF, or a Word file).
  3. Add each signer as a role, for example "Member" and "Parent", and drag in the fields each one fills: signatures, dates, initials, text.
  4. Select Save.

Word files can include placeholders in double brackets, like [[rent_amount]], that you fill in when you send. Templates with them show a Dynamic tag.

From a template's card you can Send, Edit, or use More to Duplicate or Delete it. Deleting a template doesn't affect documents already sent.

Send a document

  1. On the Templates tab, select Send on the template (or Send Document on Sent Documents).
  2. Choose recipients: groups, or search for individual members. Each recipient gets their own document to sign.
  3. Pick the Template.
  4. Under Signer roles & fields, set exactly one role to Recipient member. Set any other roles to Me, Member's secondary contact (a parent), Chapter member, Custom field (email) or External email.
  5. Use the arrows to set the signing order. Roles in the same step sign at the same time; later steps are invited after the earlier ones finish.
  6. Optionally prefill fields from member data or set fixed text. Lock makes a value read-only for the signer. Fill in any Document variables.
  7. Select Review. Each recipient shows Ready or Issue, for example "Member has no email address" or no secondary contact for a parent role.
  8. Select Send.

Recipients with an issue are skipped. Fix the issue (add the email or parent contact) and send to them again.

What signers receive

MyGreek emails each signer when it's their turn: "Signature Required for [chapter]: [document]", with a Review & Sign button. Signing happens on a secure DocuSeal page; no MyGreek login is needed to sign from the email. Members can also sign from My Documents with Sign Now.

When everyone has signed, each signer gets "[document] for [chapter] is Completed" with a View & Download button.

Track and manage sent documents

On Sent Documents, filter by Template, Status, signer or member. Each document lists its signers by step with their own status:

Per signer you can Resend signing email or Copy signer link to send yourself. MyGreek doesn't send automatic signing reminders, so resend to anyone who's slow.

For a completed document: Download signed PDF or Audit trail. Archive hides a document from the list; Show archived brings it back.

Emails you get as the sender

  • "[Signer] signed [document] for [chapter]" each time someone finishes their part. Turn these off in Settings → Admin Notifications → Signature Updates.
  • "Fully signed: [document]" when everyone's done.
  • "Declined: [document]" if someone declines. Send a new document if you still need it signed.

Common questions

A member says they never got the email.

Check their email on their profile, then use Resend signing email or Copy signer link and text it to them. If their status is Pending, someone earlier in the signing order hasn't signed yet.

Can I change a document after sending it?

No. Archive it, fix the template, and send a new one.

Why can't I see Signatures in the menu?

It's only on the Plus plan, and only shows for admins and for members who have been sent a document.
